Honest comparison

BEO HQ vs CaterZen

CaterZen is a full catering operations and marketing suite with unlimited users; BEO HQ is a focused document generator at a fraction of the price.

CaterZen is real catering software built by people who understand the business, and it has one genuinely excellent pricing decision at its core: unlimited users, orders, and menus on every plan, with no per-user or per-order fees. In a category where almost everyone charges per seat, that stands out. Plans run $179 a month for Pro, $199 for Pro Plus, and $229 for Marketing Pro Plus, with an Enterprise tier quoted individually.

The reason it costs that is that CaterZen is doing far more than documents. It bundles online ordering, a kitchen display system, delivery routing, a VoIP phone system, email marketing, and direct mail. If you are running a high-volume drop-off and corporate catering operation with a marketing engine attached, that bundle is the product. If you mainly need clean BEOs, proposals, contracts, and invoices, it is a lot of software to carry.

Choose CaterZen if...

  • You run high-volume drop-off or corporate catering and need online ordering with a branded storefront.
  • You have a team large enough that unlimited users genuinely saves money against per-seat pricing.
  • You want delivery routing, a kitchen display system, and order-taking in the same tool.
  • Marketing is part of your growth plan and you will use the email, VoIP, and direct-mail tooling.

Choose BEO HQ if...

  • Your work is full-service events rather than high-volume ordering, and documents are the bottleneck.
  • $179 a month minimum is more than the problem is worth to you right now.
  • You do not need online ordering, delivery routing, or a marketing engine attached to your software.
  • You want to see the output today, without a demo or an onboarding package.

The real cost math

CaterZen publishes its pricing clearly, which is welcome. Pro is $179 a month, Pro Plus $199, and Marketing Pro Plus $229. Start-up support is $499 one time and covers up to five locations, with $99 for each additional location. Some marketing services carry per-piece costs, such as text messages at 8 cents each and direct mail letters at $1.51.

The unlimited-users policy is genuinely the standout. A team of eight on CaterZen Pro pays $179; the same team on a per-seat competitor could pay considerably more. So the comparison is not simply cheap versus expensive, it is about whether you use the bundle. BEO HQ Pro is $39 a month with multiple users included, which is roughly a fifth of CaterZen Pro. If you use the online ordering, routing, and marketing, CaterZen may well be the better value. If you do not, you are paying for an ordering and marketing platform to get a document generator.

Volume ordering versus full-service events

The clearest way to tell these apart is the shape of your business. CaterZen's centre of gravity is transaction volume: a branded ordering site taking corporate lunch orders, a kitchen display screen firing tickets, drivers routed efficiently, and marketing bringing repeat orders back. That is an operation measured in orders per week.

BEO HQ's centre of gravity is the event: one booking with a menu, a room, a timeline, staffing, and five documents that all need to agree with each other. That is an operation measured in events per month. Plenty of caterers do both, and if the ordering side is the bigger half of your revenue, CaterZen is aimed squarely at you.

Is BEO HQ a good CaterZen alternative?

If your honest usage would be the document side, yes, and the price difference is large enough to be decisive. BEO HQ generates the BEO, proposal, contract, invoice, and quote from one event record, plus a kitchen sheet and packing list with no prices for the back of house, at $19 to $39 a month.

If you would use the online ordering site, the delivery manager, or the marketing tooling, BEO HQ is not a replacement and switching would cost you capability you are actually using. There is no online ordering in BEO HQ, no routing, no email marketing, and no phone system, and none of those are on the roadmap, because it is deliberately a document tool.

Trying before switching

CaterZen offers a free trial with no credit card required, which makes a genuine side-by-side possible. Run one of your real upcoming events through both and compare what comes out.

On the BEO HQ side you do not even need the trial: the BEO builder on the landing page is ungated, so you can export a real PDF without an account. The free tier then covers one watermarked BEO and one invoice.
